Many buyers think a sample is just “seeing what the product looks like” — approve it and move on. But the real purpose of a sample goes far beyond that:
- Confirm quality: Only when the physical product is in your hands can you judge whether the material, workmanship, and weight meet your expectations
- Confirm dimensions: The sense of size in photos differs from the real thing, especially for large items like metal raised beds and greenhouses

- Approval sample: Sent to you. You check all details after receiving it, and notify us once you approve.
- Reference sample: Kept at our Nanjing warehouse. When bulk production is complete, our quality inspectors place bulk goods next to the reference sample for comparison — color consistency, thickness, accessories, everything.
Why two samples?
If we only have one sample and it is sitting at your warehouse, we have no physical reference when bulk goods arrive. We can look at photos, but photos cannot convey material feel, weight, or subtle color differences. The dual-sample system ensures there is always a real object to compare against.
What do sample records include?
Every time a sample is confirmed, we record:
- Product name and model
- Confirmation date
- Confirmed dimensions, material, and color
- Confirmed packaging method
- Confirmed accessory list
- Sample photos
- Customer confirmation record
These records serve as the reference basis during bulk inspection. If there is a discrepancy between bulk goods and the records, we can catch it and address it before shipment.
What You Should Confirm Before Approving a Sample
After receiving a sample, do not just check “looks fine” and approve it. These three core questions must be confirmed item by item:
① Will this sample serve as the bulk production standard?
Make it clear: the sample you approve becomes the reference standard for bulk production. If bulk goods differ from the sample, you have the right to raise a dispute. This should be noted in the proforma invoice (PI). This is the most critical question — everything else is detail confirmation.
② Do you accept the material, color, and packaging?
When the physical product is in your hands, you may find the material differs from what you expected. The coating feel of a metal raised bed, the plastic texture of a watering can, the fabric thickness of garden gloves — these cannot be judged from photos. Physical color under natural light differs from screen display, especially with dark products and metallic finishes. When you open the sample packaging, pay attention: Is the carton sturdy enough? Is there sufficient cushioning inside? Is the label in the right position?
③ Do you need to change labels or accessories?
If you want your own brand label, different accessory colors, or adjusted manual content — now is the time to say so. Changing these after bulk production starts increases both cost and delays.

- Samples are the lowest-cost form of risk control. Based on industry experience, spending tens of dollars on courier fees can prevent quality problems in bulk orders worth far more.
- Sample confirmation builds shared understanding of “the standard.” You say “I want blue,” but the factory’s blue and your blue may not be the same blue. The physical object eliminates this ambiguity.
- Only after sample confirmation does the dual-sample system have a reference point. Without an approved sample, there is no benchmark for bulk inspection.
If you are satisfied with the product after sample confirmation, then place the bulk order. If not, we can adjust or switch suppliers. Skipping samples and going straight to bulk — if something goes wrong, the time for rework and reshipping far exceeds the time spent confirming samples. This is not slow. This is solid.
