How to Verify a China Garden Product Supplier Before Ordering | Scarecrow Garden Supplier

Why Verification Matters When Sourcing Garden Products from China

The first time you work with any supplier, the same questions come up: Is this company real? Is it safe to pay them? Will the bulk order match the sample?

These concerns are normal. In fact, a professional purchasing process includes verification as a standard step — it’s not about distrust, it’s about being responsible to both sides.

Garden product sourcing makes this more complicated. You might be buying metal raised bedswatering cans, garden gloves, seed starter trays, mini greenhouses, and heat mats at the same time — each from a different factory. That means you’re not just verifying one company. You need to confirm that this company can coordinate multiple factories, control quality across multiple product categories, and catch problems before shipment.

This article explains what you can verify before placing an order with Scarecrow Garden Supplier, and how to start your first collaboration safely.

What Scarecrow Garden Supplier Does

Picture a container with 15 products from different factories — metal raised beds from Hebei, pruning shears from Yongkang in Zhejiang, seedling trays from Taizhou in Zhejiang, greenhouses from Shandong. Different lead times, different standards, different accessories. Who organizes, inspects, and consolidates all of this?

That’s why we exist.

Scarecrow Garden Supplier is not a factory that produces everything. We are a China-based garden product supply chain partner that helps overseas wholesalers, distributors, garden centers, and e-commerce sellers source a wide range of garden products from China.

Based in Nanjing, China. 30+ team members. 200+ verified supplier partners. Our job is not to sell products for factories — it’s to help buyers organize, inspect, and consolidate products from multiple factories, then ship them out.

Understanding our business model tells you what to verify and how.

How long is the chain in mixed sourcing? Most factories only produce a few products. The factory that makes wooden-handle garden trowels is not the same one that makes plastic-handle trowels. The factory that makes metal raised beds doesn’t make watering cans. Sourcing 10 product categories means working with at least 15 factories — 15 sample shipments, 15 quotes, 15 conversations, then picking the right ones from all of those.

The production stage is just as fragmented. Fifteen factories mean fifteen lead times. You have to coordinate repeatedly to consolidate products arriving at different times into one container. Products that arrive early sit waiting for the rest — and during that wait, storage fees can add up. Seasonal products that miss their shipping window might not sell until next year. And garden product demand shifts with the weather — a sudden heatwave means shade nets and drip irrigation need to be restocked fast; an early spring means seedling trays and greenhouses need to ship on a tight timeline. Tracking lead times across 15 factories while responding to urgent seasonal shifts… how many people does that take?

Many overseas buyers tell us the same thing: the hardest part of sourcing garden products from China for the first time isn’t choosing products — it’s coordinating all these moving parts.

With Scarecrow Garden Supplier, you deal with one China-based supplier. We can verify products from 5 to 100 factories at a time — whether you’re testing a few SKUs or placing a large-scale order. Here’s what that looks like in practice: we do the first round of screening. Products that are overpriced but only average in quality? We drop them instead of shipping them to you. The samples you receive have already been through our comparison and filtering. Then you do the second round — picking what works for you. If there are any requirements or ideas, we handle the communication and come back with solutions.

What You Can Verify Before Payment

Here is what you can ask to verify before you pay, along with specific methods for each item:

Verification ItemWhat to CheckHow to Verify
Company RegistrationCompany name, registered location, business licenseRequest a copy of the business license. The company name should match the PI. China’s business registration info can be checked through the National Enterprise Credit Information Publicity System
Proforma Invoice (PI)Supplier company name, buyer company name, product details, quantities, prices, payment terms, bank informationCheck item by item: Does the company name match the business license? Does the bank account name match the company name? Do the product details match what you confirmed?
Official Email DomainEmails come from @gardentoolswholesale.comCheck the sender’s email address. Non-official email addresses (Gmail, Hotmail, etc.) are a warning sign
Company Bank AccountBank account name matches the company name on the PIVerify the bank account holder's name before paying. If it doesn’t match the company name on the PI, request a written explanation
Product Photos or VideosReal product shots of items you’re interested inAsk for multi-angle actual photos — not polished marketing images. If the supplier only provides one perfect-angle shot, that itself is a signal
Sample Confirmation RecordsSample photos, spec confirmations, and customer approval recordsAsk to see the dual-sample process records — whether both the approval sample and reference sample are documented and archived
Packaging InformationCarton specs, labels, shipping marksRequest actual packaging photos, including carton thickness, label placement, and cushioning materials
Warehouse Photos or VideosReal warehouse scenes, goods in storageRequest actual warehouse photos showing goods storage and inspection operations. If the supplier only has a photo of an empty warehouse, ask whether they have photos of actual operations
Social MediaDay-to-day updates on Facebook and LinkedInSearch for Scarecrow Garden Supplier on Facebook and LinkedIn — look at our daily updates showing warehouse inspections, sample confirmations, container loading, and other real work scenes

You can request any of the above information by emailing Queenie (Queenie@gardentoolswholesale.com). If you need more formal documentation, we provide complete company and bank information in the Proforma Invoice (PI).

Why You Should Avoid Paying for a Personal Account

This is one of the most important safety principles when sourcing from China.

Legitimate companies typically use corporate bank accounts to receive payments. If a supplier asks you to pay to a personal account, this carries significant risk — regardless of the reason given.

The verification method is straightforward:

  1. Check the receiving company name on the PI
  2. Check the bank account holder's name
  3. Confirm both match, and match the supplier’s official company name

Scarecrow Garden Supplier only uses corporate accounts for receiving payments. Bank account information is based on the official PI. We will never ask customers to pay to any personal account.

Warning Signs to Watch For

When sourcing from China, the following situations deserve extra attention:

  • The company name on the PI doesn’t match the bank account name — legitimate companies should have both aligned
  • The supplier only communicates through personal email (Gmail, Hotmail) — no company domain email
  • The supplier refuses to provide real warehouse or product photos — only polished marketing images
  • The supplier pressures you to pay quickly without giving you time to verify — professional suppliers understand a buyer’s need to verify
  • The supplier claims to manufacture all products themselves — but garden product categories vary so widely that one factory cannot cover them all; this usually means the middle layer is being hidden
  • The supplier is unwilling to arrange a third-party inspection — professional suppliers don’t refuse independent verification

Any single item above is not absolute proof of fraud, but when multiple signs appear together, you should be especially cautious.

If this is your first time sourcing garden products from China and you’re unsure about the payment process — send us your product list, and we’ll provide an official PI and corporate bank information for you to verify before deciding on next steps. You can also find us on Facebook and LinkedIn, where we share day-to-day updates — another way to see who we are from more angles.

At Scarecrow Garden Supplier, you don’t have to chase us for updates. Our team proactively keeps you informed at every stage — where production stands, whether any issues have come up, how they’re being resolved, and when things are expected to be back on track. If something goes wrong at a factory, you won’t just get a vague “we’re handling it.” You’ll know the specific problem, what we’re doing about it, and when it should be resolved.

How to Safely Start Your First Order

If this is your first time working with Scarecrow Garden Supplier, here are the steps we recommend:

Step 1: Send your product list

Tell us what products you want to source, your target market, approximate quantities, and packaging requirements. We’ll help you confirm product direction and supplier options.

Step 2: Confirm details and samples

Based on your list, we provide product options, specifications, MOQs, and pricing. For key products, we recommend confirming samples first — we use a dual-sample system: one shipped to you for approval (approval sample), one kept in our warehouse as the reference standard for bulk production (reference sample).

Step 3: Review the PI and make payment

Before placing the order and making payment, carefully review the Proforma Invoice. Confirm that the company name, product details, amounts, payment terms, and bank information are all correct. We only use corporate accounts for receiving payments. Bank information is based on the official PI.

Step 4: Warehouse inspection and confirmation

When goods arrive at our warehouse, four quality inspectors check quantity, appearance, specifications, accessories, and packaging — and as they inspect, photos and videos are sent to you for confirmation. You don’t need to ask for them.

If you’re concerned about mixed shipments from different factories — we proactively provide warehouse inspection photos and reference sample comparison records at every stage, so you can see the actual condition of every product before it ships.

Step 5: Shipment and follow-up support

Once packaging and shipping details are confirmed, goods are dispatched and we provide logistics tracking information. If any issues arise, we assist with communication and resolution.

About Third-Party Inspection

For large orders or products with strict quality standards, we support arranging third-party inspection.

Third-party inspection companies (such as SGS, Bureau Veritas, V-Trust, etc.) can conduct independent quality checks before shipment, performing sampling inspections according to AQL standards (such as ISO 2859-1 or equivalent), and issuing professional reports with photos and videos.

This isn’t because we lack confidence in our own inspections — it’s because if you need additional assurance, third-party inspection is a professional and effective option. Fees are borne by the buyer, and we can help arrange them.

Next Step: Confirm Your Garden Product Sourcing Plan

Verification isn’t distrust — it’s part of professional purchasing.

When you verify company information, confirm samples, and check payment details, these actions show you’re a serious buyer. From our side, customers who are willing to go through a verification process often become the best long-term partners.

If you’re planning a garden product purchase but aren’t sure where to start with verification — we can help you begin with a product list and work through product details, sample plans, packaging requirements, and shipping arrangements step by step. You don’t have to place a large order right away. Starting with samples or a small trial order is also a way to reduce risk.

Send us your product list and target market, and we‘ll help you confirm product direction and suggest a practical first-order plan. You can also search for Scarecrow Garden Supplier on Facebook and LinkedIn to see more of our day-to-day work.
